The Ivy League Roadmap (“we,” “us,” or “our”) operates ivyroadmap.org (the “Site”) and provides college admissions advising services. Families trust us with detailed, personal information about their students, and we take that seriously. This policy explains what we collect, how we use it, where it lives, and how to reach us about it.
Information we collect
Almost everything we collect, you give us directly by completing the College Admissions Advising Application on our Apply page. Depending on your answers, that includes:
- Contact information — the student’s and parent or guardian’s names, email addresses, phone numbers, and mailing address.
- Biographical details — the student’s date of birth, biological sex, citizenship status, armed forces status, and residence history. Race and disability information are optional questions; share them only if you choose to.
- Academic information — current school, GPA, class rank, coursework, test scores, target schools, and any academic discipline history.
- Activities and essays — extracurriculars, honors, work experience, recommenders, and short written answers about the student’s experiences and goals.
- Financial information — whether you plan to apply for financial aid, approximate household income range, expected cost of attendance, budget for admissions preparation, and parent or guardian professions.
If you leave the application before submitting it, your in-progress answers are saved in your own browser’s local storage so you can pick up where you left off. Those draft answers stay on your device and do not reach us until you press submit.
We do not run advertising trackers or third-party analytics on the Site, and we do not collect browsing profiles about you.
How we use your information
We use the information you submit to:
- Review and evaluate your application to work with us;
- Contact you about your application and, if we work together, provide our advising services;
- Manage our limited capacity (we work with about 50 families per year) and maintain our waitlist;
- Comply with legal obligations, if any apply.
We do not sell your personal information, rent it, or share it with third parties for their own marketing. Ever.
Where your information lives
Submitted applications are stored in a secure, access-controlled cloud database, and a copy of each application is delivered to our team by email. We rely on a small number of service providers to run the Site, each processing data only on our behalf and only to provide their service to us:
- Vercel — hosts the Site and serves its pages;
- Neon — hosts the database where submitted applications are stored;
- Resend — delivers the email notification of each new application to our team.
The Site is served over HTTPS, and access to submitted applications is restricted to our team behind a password-protected dashboard.
Cookies
We do not set tracking or advertising cookies. Ordinary visitors can browse and apply without receiving any cookie from us at all. The one cookie we use is a short-lived, secure login cookie set only for our own staff when they sign in to the admin dashboard.
Video on the Site is embedded using YouTube’s privacy-enhanced (no-cookie) player, which does not set advertising cookies unless you choose to play a video. Once you interact with an embedded video, YouTube’s own privacy policy applies to that interaction.
Students and minors
Our services concern students who are often under 18. The application is designed to be completed by, or together with, a parent or legal guardian, who is our primary contact. By submitting an application, the parent or guardian consents to our collection and use of the student’s information as described in this policy. The Site is not directed at children under 13, and we do not knowingly collect information from a child under 13 without a parent or guardian’s involvement. If you believe a child has submitted information to us without consent, contact us and we will delete it.
Retention and your choices
We keep application information while we are evaluating it and, if we work together, for the duration of our engagement and as long as reasonably needed afterward. At any time, you can email us to:
- Ask what information we hold about you or your student;
- Correct information that is wrong or out of date;
- Ask us to delete your application and associated information, which we will honor unless we are required to keep it.
Third-party links
The Site links to third-party destinations such as Amazon (for the book) and our social media profiles on Instagram, TikTok, and YouTube. Those sites operate under their own privacy policies, which we do not control.
Changes to this policy
If we change this policy, we will post the updated version here with a new “last updated” date. Material changes that affect how we handle information you already gave us will be communicated to the email address on your application.
